Palergroup Expense Submission System · Effective 2026-05-27
This policy describes how Palergroup (“we”) collects and uses information in connection with our internal expense submission system, accessed via SMS/MMS to a dedicated phone number provided to employees.
Information we collect
- Mobile phone number of submitting employee
- Text content of submitted messages
- Photos of receipts attached to submissions
- Timestamps of submissions
How we use it
We use this information solely to log business expenses for accounting and reimbursement purposes. Submitted data is matched against our internal vendor and account records and stored in a private spreadsheet accessible only to authorized company personnel and our bookkeeper.
Third parties and sharing
We use the following processors strictly for the operation of this system:
- Twilio (SMS/MMS transport)
- Make.com (workflow automation)
- Anthropic (receipt content extraction)
- Google (cloud storage and spreadsheets)
We do not share, sell, rent, or otherwise distribute mobile opt-in data, phone numbers, message content, or any information collected through the SMS messaging program with third parties or affiliates for marketing or promotional purposes. The processors listed above act only on Palergroup's behalf to operate the system and are bound by their own data-processing terms.
Retention
Submission records are retained for the period required by applicable tax and accounting regulations, typically seven years.
SMS program details
This system sends only the following message types to enrolled employees:
- Confirmations that a submitted expense has been logged
- Requests for clarification when a receipt is unreadable or missing context
- Error notifications when a submission could not be processed
No marketing or promotional messages are sent. Message frequency varies with each employee's expense activity, typically 1–10 messages per week. Message and data rates may apply per the employee's mobile carrier.
Opt-out
Employees may opt out at any time by replying STOP to any message from the system, or by notifying company management to be removed.
